What the website collects

Contact form. The name, email address, phone number and message you type, with the date and time.

Application forms and Enter My Horse. Exactly the information the paper form asks for: names, addresses, phone numbers, email addresses, membership and registration numbers, dates of birth where the form asks, show class and fee information, and the agreement you accept.  Some forms ask for a Social Security number (for example, to receive prize money, or on certain applications).  You can choose "On File" on the entry form if the office already has it.

Attachments. Photographs or papers you attach to a form are kept privately with the record.

Payment. This website does not take payments and never asks for a credit card or bank number.  Entry and membership fees are paid to the office.  Please do not type card numbers into any form.

How Social Security numbers are protected

A Social Security number is stored encrypted, shown masked (last four digits) everywhere on the site, left out of every email the website sends, and left out of exports.  Only a signed-in association administrator can reveal the full number, and each reveal is written to a log with the administrator's name.

Why we hold it

To process your application or entry, run the show, keep the association's records, and answer you.  We do not sell or rent your information or share it for marketing.

Who can see it

Authorized RHBAA office administrators.  When a form is submitted, a copy of the information (without Social Security numbers) is emailed to the association's office email addresses.  The company that maintains the website, Pro Star Web Development, may access the system only to keep it running and secure.

Your copy

After you submit a form you get a record number and a private link to a printable copy and a PDF.  Anyone with that link can open the copy, so do not share it.  The link is not guessable and is not listed anywhere.

How long we keep it

Show entries, registrations, memberships and meeting records are association records and are kept.  If you want something corrected, call the office; corrections are recorded with a reason and the original is preserved.

Cookies and visitor counts

The site uses one session cookie so that forms work and stay secure.  It also keeps simple, private visit counts (pages viewed and visits) on this server; they are not sold or shared. The site loads no advertising or outside tracking, and its fonts and images come from this server.

Links to other sites

Some pages link to sponsors, social media pages, or the Decatur Convention and Visitors Bureau.  Those sites have their own policies.
